Once the tour details and guide fee are confirmed and the guide is booked, you will receive an invoice. We don’t ask for a deposit unless it is a long time in advance of the tour and this will be £40 per guide. Full payment is due 2 weeks in advance of the tour wherever possible unless it is booked at short notice, in which case payment is due immediately.


Payment can be made by bank transfer as detailed on your invoice or by PayPal – PayPal takes most credit and debit cards. On some occasions, by agreement, you can pay cash on the day. Rates may be higher for tours in other languages or for specialist tours that require specialist knowledge or a great deal of preparation in advance. We charge £10 extra for tours on UK public bank holidays and for Christmas Day the fee is double.

Cancellation policy

All the guides are freelance and self employed. When a guide is booked for a tour they commit to doing the tour and the time and date is then firm in their diary. So, on a goodwill basis, the guide then does not accept any other tour at that time. So if a tour is cancelled by the client then the guide potentially loses the possibility of work and payment.

However, we understand that circumstances can change and we try to be flexible. Our cancellation policy follows the guidance of the Guild of Registered Tourist Guides.


If the tour is cancelled by the client 7 days before the tour then 50% of the fee is payable. For tours cancelled 48 hours in advance, then the full fee is payable.  If clients do not show up on the day, and thankfully this does not happen often, the full fee is payable.

If for some reason such as illness that Oxford Tour Guides have to change the arrangements then every effort is made to find a replacement guide. If this is not possible and the tour has to be cancelled, then the client will be given as much notice as possible and a full refund will be given. Alternatively another tour can be offered for a different date and time to suit.


Privacy statement

At Oxford Tour Guides we take your privacy seriously and so the contact details you supply to us will be for the sole purpose of communicating with you to organise the arrangements for your tour. Your contact number will be passed to the guide who is to take your tour so that you can liaise on the day in case of delays or problems. Similarly, Oxford Tour Guides will provide you with the name and contact number for the guide for your tour, solely to enable you to stay in touch with the guide on the day of the tour. All other communication or enquiries should be via Oxford Tour Guides. We will not pass your contact details to any third party for any other purposes.
